# Client Briefing Process
The brief is the foundational document of every architectural project — it defines what the client needs, why, and within what constraints. Brief development is an iterative, collaborative process that translates the client's aspirations, functional requirements, and strategic objectives into a clear framework for design. A well-developed brief reduces abortive work, manages expectations, and provides a benchmark against which design quality is evaluated.

## Brief Development Stages
| Stage | RIBA Stage | Owner | Output |
|-------|-----------|-------|--------|
| **Strategic Brief** | Stage 0–1 | Client (with architect's guidance) | Vision, objectives, constraints, budget |
| **Initial Brief** | Stage 1 | Client + architect | Functional requirements, spatial needs, adjacencies |
| **Project Brief** | Stage 2 | Architect (client approval) | Detailed room-by-room requirements, performance specs |
| **Design Brief** | Stage 3 | Architect | Technical response to project brief |
| **Detailed Brief** | Stage 4 | Architect | Construction-ready specification |
See [[RIBA Plan of Work]] for stage alignment.

## Strategic Brief
The strategic brief establishes the business case and high-level project objectives:
| Component | Content |
|-----------|---------|
| **Project vision** | What the project aims to achieve (qualitative aspirations) |
| **Business case** | Why the project is needed; return on investment |
| **Key objectives** | Measurable goals (capacity, efficiency, experience) |
| **Budget envelope** | Total available budget including contingencies |
| **Programme** | Key milestones and target completion date |
| **Site constraints** | Known planning, heritage, environmental, access constraints |
| **Procurement route** | Delivery method (traditional, D&B, management contracting) |
| **Sustainability targets** | Energy, carbon, certification targets (BREEAM, LEED, etc.) |
---
## Project Brief
The project brief translates strategic objectives into spatial and functional requirements:
| Section | Content |
|---------|---------|
| **Schedule of accommodation** | Room-by-room list with areas, grouped by function |
| **Adjacency requirements** | Which spaces must be near/far from each other |
| **Operational requirements** | How the building will be used, staffing, hours |
| **Technical requirements** | Environmental conditions, specialist services, equipment |
| **Flexibility** | Future adaptability, expansion, change of use |
| **External spaces** | Landscape, parking, servicing, public realm |
| **Circulation** | Visitor flow, staff flow, goods flow, separation requirements |
| **Security** | Access control, surveillance, secure areas |
| **Branding** | Corporate identity, design language, material preferences |
### Schedule of Accommodation Example
| Room/Space | Quantity | Net Area (m²) | Occupancy | Key Requirements |
|-----------|----------|---------------|-----------|-----------------|
| Open-plan office | 3 | 250 | 30 | Daylight, acoustic treatment |
| Meeting room (small) | 4 | 15 | 4–6 | AV, acoustic privacy |
| Meeting room (large) | 1 | 40 | 20 | Divisible, AV, catering |
| Reception/lobby | 1 | 80 | Variable | Wayfinding, security desk |
| Staff kitchen | 2 | 25 | 10 | Ventilation, hot water |
| WC suite | 4 | 20 | — | Accessible, baby change |
| Server room | 1 | 15 | 0 | Climate control, UPS, security |
---
## Room Data Sheets
Detailed technical specification per room/space type:
| Field | Content |
|-------|---------|
| Room reference | Code/number in schedule of accommodation |
| Net floor area | Required area in m² |
| Floor-to-ceiling height | Minimum clear height |
| Occupancy | Maximum and typical number of occupants |
| Environmental conditions | Temperature, humidity, ventilation rate |
| Lighting | Lux level, control type, daylighting requirement |
| Acoustics | Reverberation time, background noise level, STC to adjacent |
| Finishes | Floor, wall, ceiling specification |
| FF&E | Furniture, fittings, equipment list |
| M&E | Power, data, specialist services |
| Security | Access control level |
| Special requirements | Any unique conditions |
---
## Stakeholder Workshops
| Workshop Type | Participants | Purpose |
|--------------|-------------|---------|
| **Vision workshop** | Client leadership, architect | Establish project vision and priorities |
| **User workshops** | End users, department heads | Capture operational needs, workflow |
| **Technical workshops** | Engineers, specialists | Define technical requirements |
| **Review workshops** | All stakeholders | Validate brief, test proposals against brief |
| **Post-occupancy** | Users, FM team | Feedback to inform future briefs |
### Workshop Techniques
| Technique | Application |
|-----------|-------------|
| **Adjacency matrix** | Map desired proximity between spaces |
| **User journey mapping** | Trace typical user paths through the building |
| **Day-in-the-life scenarios** | Narrate how users experience the building |
| **Prioritization exercise** | Force-rank competing requirements |
| **Precedent review** | Share reference projects to calibrate expectations |
---
## Brief Validation
| Check | Method |
|-------|--------|
| **Area check** | Compare schedule of accommodation against budget and site capacity |
| **Cost check** | QS estimate against schedule of accommodation |
| **Benchmarking** | Compare against published standards (HBN, BB, BCO) |
| **Feasibility study** | Test brief against site with massing studies |
| **Gap analysis** | Identify requirements not yet defined |
| **Sign-off** | Formal client approval of the project brief before design begins |
---
## Design Quality Indicators
| Framework | Source | Use |
|-----------|--------|-----|
| **DQI (Design Quality Indicator)** | CIC | Functionality, Build Quality, Impact |
